Structured Process Analysis

Structured business process is defined to be a set process that occurs on a daily basis such as accepting returns and placing orders. The structured process at LifeTime Kids Academy would be the sales process. A primary activity that is done for the sales process is hosting special parties and events at the Kids Academy. For example, birthday parties are special events that are hosted at LifeTime. Parents must fill out a form stack that gets submitted to the birthday party supervisor so that the supervisor can see the availability for that birthday party. Once the parents and the supervisor have established a day and time that works best a deposit is taken to secure that date for the party. All payments are done through the LT Suite application, the LT suite is a payment method that the parents use in order to pay for any events that are being held at LifeTime.

The business structured process is done through sales. All parents must reserve a spot for the parent's night out through the LifeTime App, which is the main information system that holds all of the child’s data along with specific preferences and requests once the child is put into the excerpt. Before any member is allowed to have their children indulge in everything that the Kids Academy has to offer, they must speak to someone in the concierge so they can add the child to their LifeTime membership. Then they would have to pay the monthly fee extra for a child so they can get everything that comes with the Kids Academy benefits. Customer service is also provided to the parents as there are representatives that assist customers when using the service and as a result, it increases the service’s value.

At Lifetime, the sales process is supported by a POS System. In this POS system customers are able to do all of their payments through an LT Suite application, this type of system keeps track of all payments in one location. Customers also have the option to use the LifeTime App to do any type of payment but all transactions go through the LT Suite Application. The information system components consist of a computer where the LT Suite Application is the software that accepts all payments and the data of all sales transactions is kept in this one location. The procedures in this information system would be the type of payment that is being accepted in the transaction where the employee would then follow the specific steps to then complete a valid transaction.

LT Suite

LifeTime’s sales process all happens through the app. Any purchases within and out of the club can all be done through the app. Whether someone wants to purchase some food in the cafe after a workout, or book events, must go through the LifeTime app. Members add their card on file, this is also the card that monthly membership fees are taken from, and members must scan their membership card when making purchases. This creates a tightly secured and personalized scenario. Not just anyone can purchase or have access to information or opportunities that members have. To access the app one would need a member identification verification code when they sign up within the club, and that is what members use to log in and then are able to use the club and the facility to its full potential.

Once people make purchases or any payment through the app, the app is connected to LT Suite which keeps a record of all payments that are made at LifeTime. Certain payments, such as deposits for birthday parties, cannot be done through the app itself. A supervisor, with a special pin, has to go directly through the LT Suite application within the administration office to secure that deposit since it is a larger amount. Certain payment scenarios such as that one are what only certain people have access to complete. Besides that, all payments and transactions are done through the app that is automatically transferred over to LT Suite which keeps records on file of all the payments made by all members of the club to see how much profit or loss we are making at the end of each month. This process seems to work really well since we do not have any interference from other organizations or platforms.

At LifeTime there are no information silos in the sales process. Everything is kept under LT Suite which keeps track of the data rather than having it in separate information systems. The current process at LifeTime runs smoothly with no issues or at least major ones that can’t be solved. Having the data under one location, helps LifeTime keep track of transaction records and how well they are doing.

CRM is known as Customer Relationship Management which is a suite of applications, a database, and a set of inherent processes for managing all interactions with customers. Vendors of a CRM System claim that using this system will make an organization more customer-centric. LifeTime uses its social media platforms and its LifeTime app to manage interactions with customers through updates, payments, and its loyalty points program to keep a strong relationship with its customers. ERP, Enterprise Resource Planning, is a suite of applications called modules, which consist of a database and a set of inherent processes for consolidating business operations into a single, consistent, computing platform. Its purpose is integration, which allows the latest updates on the data and overall helps the business. The major ERP vendors are SAP, Oracle, Microsoft, Infor ERP, and Epicor. Each vendor is suitable depending on the size of the organization. SAP and Oracle serve large organizations while Microsoft, Infor ERP, and Epicor serve small to midsize organizations.EAI is Enterprise Application Integration, a suite of software applications that integrates existing systems by providing layers of software to connect applications together. Some organizations may not find ERP systems to be suitable so some choose to use EAI to allow their applications to communicate and share data with existing applications. The cooperation that we have chosen does not use any of the above-listed ERP vendors

Inter-enterprise IS is an information system that multiple enterprises use for communication when the organization wants to coordinate and/or collaborate with one another. LifeTimes uses an app called BeeKeeper. With BeeKeeper, different LifeTime facilities around the globe can communicate with one another and keep everyone up to date with all events that are happening and even try to help each other with improvements that can be made. It also allows each branch of the organization to communicate with one another. The kid's department can communicate with the concierge as well as the operations department and aquatics. This includes messaging specific people from the department or the department as a whole.
